Please note: When this document references to “We”, “Our”, “Cladify” it denotes “Cladify Limited”. When referring to “projects” this denotes cladding services, installations, and all related services.
How We Collect Data
Cladify collects and sources data for individuals that have a legitimate interest in our business services. Either as an existing client, potential client (someone who has contacted Cladify regarding its cladding installation services), local businesses and organisations.
Here are the various methods we use to collect data:
Website enquiry form – This form features a tick box to opt-in to our email marketing
Website cookies – Cookies collect user statistics for Google Analytics. No personal data is accessible to Cladify via cookies or Google Analytics. Please see information on website cookies below
Social media – Cladify uses several social media platforms for targeted marketing. However, we do not collect, or store any data from this source internally
Quotations requests and general enquiries sent direct to team@cladify.co.uk inbox is accessed by all team members and the marketing department
Client data from completed and current projects is securely stored
Supplier** information – This information is provided direct from the supplier or sub-contractor providing goods or services to Cladify
Employee data* – obtained direct from the employee
What Type of Data Cladify Collects and Processes
The type of data we collect, process, use and store includes:

Employee personal ID, contact information and payroll details*

Relevant address for any projects undertaken
Transactional information for services Cladify has been contracted to complete offline
How We Use Data
To fulfil contractual requirements – Client data is used to prepare and send quotations, tenders, invoices and other documentation relating to projects undertaken by Cladify. It is shared with the project management team responsible for client liaison. When deemed necessary for quotations and deliveries, certain client information is shared with onsite operators and suppliers.
The individual’s data will be used by the Cladify project management team for email and telephone communications before, during and after the project.
From time to time, the Cladify marketing department may wish to send clients relevant information or seasonal greetings, therefore the business email address and postal address will be added to a client database for marketing use. If the client does not feel the information they receive is relevant, they can unsubscribe using the link at the end of the email campaign, or contact us at team@cladify.co.uk and marketing emails will cease.
Data provided to Cladify is used for the Company’s sole use and will not be shared with third party partners.
Online Enquiries – The customer’s contact details, billing address and associated information are taken on submission of a website enquiry to enable Cladify to complete the customer’s information request. The data is stored for one year, or until the customer requests it is removed. Upon response, customers can also opt-in to receive email marketing. Emails will be sent periodically and only when deemed to be of legitimate interest.
Internal record keeping – data associated with a specific project will be kept on file for internal record keeping.
Website projects and testimonials – When undertaking a project, we will ask for permission to take before and after photographs, which we intend to use on our website as part of comprehensive case study. The information shared in the case study will include the reason for the project and the work undertaken. We will also ask for a testimonial to include from the client. If the client does not wish for their details to be added to our website and would prefer to be anonymous, we will respect their privacy.
Email marketing – Occasionally we will systematically send email marketing to data that is categorised by job title, business sector and region to ensure all marketing communication is only sent those with a legitimate interest in the topic.
The individual will only be contacted if we believe they have a legitimate interest in our services, for example they are moving office, plan to relocate or have expressed an interest in the services we offer.
The individual has the right to refuse the call and request to not be contacted again, which we will adhere to.
All calls are logged for future reference but are not recorded.
Website cookies – Cladify’s website has cookies enabled to facilitate the users online experience and to help us identify how the website performs using Google Analytics.
Cookies are small files that automatically download to your device with your permission (a pop up appears when you enter the site for the asking for you permission to use cookies). Cookies are used to make your search experience easier by remembering sites that you have already visited as a legitimate interest.
While Cookies are a helpful user interface, they also allow website controllers to analyse traffic to their website. For example, Cladify uses Google Analytics, which collects Cookie data, to generate a report of which pages are most popular, how long a user visits each page and how the page is found. The report is intended to provide feedback on how the site performs.
The data collected by Google Analytics is used for statistical analysis only. At no point do Cladify have access to the personal data, or the IP addresses used by Google Analytics for this information.
The use of cookies is currently under review. At Cladify we assure all our website visitors that we will remain compliant with any future changes to Cookie regulations.
Data Security
All personal data held by Cladify is securely stored and accessed only by authorised Cladify personnel. We enforce data security with a number of methods:

Regular auditing of marketing databases, including removal of unsubscribed or suppressed email data
We assure you that the data stored by Cladify will never be sold or shared with any third parties. The only instance data is shared outside of the corporation is in relation to a project or order of goods e.g. deliveries addresses and contact information.
Roles and Responsibilities
It is the responsibility of everyone employed or contracted by Cladify to read and follow the processes as outlined in this policy for collection, processing and securely storing personal data of our clients, employees, suppliers, and third-party partners. Failure to comply with this policy or breach GDPR legislation can result in a disciplinary and/or dismissal, and/or litigation.
Training
Using the details outlined in this policy, our company stakeholders continue to train Cladify employees about the importance of data protection and security.
